Position Overview

The Senior Administrative Officer will be responsible for overseeing overall administrative operations, managing company assets, ensuring compliance with government and insurance requirements, and supporting smooth business operations across branches. This role requires a proactive, organized, and detail-oriented professional with strong leadership and coordination skills and the ability to manage multiple administrative functions in a growing business environment.

Key Roles and Responsibilities
1. Administrative Operations
  • Oversee day-to-day office operations to ensure efficiency and smooth workflow.
  • Supervise, guide, and mentor administrative staff for better performance.
  • Implement and improve administrative policies, procedures, and reporting systems.
  • Manage office resources (supplies, equipment, facilities) and maintain proper records.
  • Ensure adherence to organizational policies, internal controls, and regulations.
2. Asset & Resource Management
  • Maintain up-to-date records of all company assets.
  • Oversee registration, renewal, and documentation of vehicles, machinery, land, and other assets.
  • Ensure timely maintenance, insurance coverage, and claims processing.
  • Coordinate with vendors and service providers for procurement and repairs.
3. Governmental & Legal Compliance
  • Handle company registrations, licensing, renewals, and statutory requirements.
  • Liaise with government and regulatory authorities for inspections and compliance.
  • Maintain accurate documentation for audits, verification, and reporting.
4. Insurance Management
  • Manage corporate insurance policies (assets, vehicles, property, and other coverage).
  • Ensure timely renewal and compliance with insurance terms and conditions.
  • Coordinate insurance claims and documentation with insurance providers.
  • Review insurance adequacy and suggest improvements to minimize risk.
5. Operational Coordination
  • Act as a central point of contact between departments, branches, and external stakeholders.
  • Support administrative and logistical needs of various units.
  • Assist in annual/budget preparation, monitor expenses, and suggest cost-saving measures.
  • Ensure smooth coordination across locations and functional units.
6. Relationship & Vendor Management
  • Build and maintain professional relationships with vendors, suppliers, and service partners.
  • Negotiate rates, contracts, and service terms in favor of the organization.
  • Periodically review vendor/insurance partner performance for quality and compliance.
Qualifications and Skills
Education & Experience
  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Minimum 2 years of experience in administrative and/or operations management roles (experience in FMCG/manufacturing/group companies is an added advantage).
  • Strong working knowledge of MS Office (Word, Excel, PowerPoint) and office management systems.
  • Familiarity with procurement, vendor management, and asset administration.
